E-Commerce Fulfillment & Customer Service Specialist
WHAT YOU’LL BE DOING
The E-Commerce Fulfillment & Customer Service Specialist owns the daily fulfillment of all online orders and serves as the primary point of contact for our e-commerce customers. Working out of Neptune Mountaineering in Boulder and reporting to the Marketing & E-Commerce Director, this role ensures orders are picked, packed, and shipped accurately and on time, and that every customer interaction reflects the same expertise and care our guests experience in the store.
RESPONSIBILITIES AND DUTIES
Fulfillment
• Fulfill all e-commerce orders five days per week: pick, pack, and ship within designated time frames.
• Process orders in Shopify, including order verification, shipping label creation, and fulfillment status updates.
• Coordinate with the sales floor and inventory teams to locate products and resolve stock discrepancies during fulfillment.
• Communicate with the customer and resolve orders affected by missing or unavailable items, following established procedures.
• Maintain an organized, efficient packing and shipping area, including shipping supplies inventory.
• Monitor open and unfulfilled orders daily to ensure nothing falls outside designated time frames.
Customer Service
• Serve as the chief customer service coordinator and communicator for all e-commerce inquiries, including email, phone, and order issues.
• Own the returns and exchanges process end to end — process refunds and exchanges per established policy, escalating only highly unique problems or challenges.
• Handle shipping issues including lost, delayed, stolen, and damaged packages per established policy.
• Communicate order status, delays, and resolutions to customers promptly and professionally.
• Flag suspicious or high-risk orders per the fraud review procedure before fulfillment.
Special & Group Orders
• Own the coordination and execution of special orders and group orders end to end: intake, order entry, customer communication, buying team coordination, and fulfillment.
• Support the development and growth of group order business, including military and government contractor accounts, in collaboration with the Marketing & E-Commerce Director and buying team.
Other
• Assist on the sales floor and with retail activities during key periods.
• Other duties as needed to support e-commerce operations and goals.
WHAT WE’RE LOOKING FOR
Required Skills & Characteristics
• Prior customer service experience with strong written and verbal communication skills.
• Highly organized, detail-oriented, reliable, and able to manage repeatable daily processes.
• Comfortable learning and working in e-commerce and shipping software (Shopify experience a plus, not required).
• Able to lift and move products regularly as part of daily fulfillment work.
• Open to feedback and committed to continuous learning.
• Must be able to report and work in person at Neptune Mountaineering in Boulder, CO.
Preferred Skills & Experience
• Prior retail experience, ideally in the outdoor industry.
• Interest and participation in outdoor sports and activities, as well as local area knowledge.
